5. What Is Our Legal Basis for Processing?

Depending on the activity, EdPro may rely on one or more of the following legal bases under the GDPR:

Contractual necessity: To process registrations, provide courses or membership services, communicate with participants and administer payments where processing is necessary to perform a contract or take steps requested before entering into a contract.

Legal obligation: To comply with applicable accounting, tax, record-keeping or other legal requirements.

Legitimate interests: To manage our organisation, maintain appropriate administrative records, improve our services, protect our systems and handle disputes, where our interests do not override your rights and freedoms.

Consent: To undertake activities for which consent is required, including certain marketing communications and non-essential cookies or analytics technologies where applicable.

Where we rely on consent, you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before consent was withdrawn.

We will provide additional information where necessary if a particular course or activity involves a different purpose or legal basis.

6. Sharing Personal Data with Training Providers and Other Organisations

EdPro may work with external training providers, educational organisations, instructors, venues or other partners to organise courses and learning activities.

Where necessary and lawful, we may share relevant personal data with these organisations to manage applications, enrolment, participation, course administration, attendance, assessments, certificates or other agreed activities.

For the PLA Programme, this may include sharing application documents and contact details with Centro Qualifica.

The information shared will depend on the relevant course or service and will be limited to what is reasonably necessary for the applicable purpose.

Where an external organisation independently determines how it uses your personal data, it may act as a separate data controller and provide its own privacy notice. Where organisations jointly determine the purposes and means of processing, appropriate arrangements must be established under the GDPR.

7. Other Recipients of Personal Data

Where necessary and lawful, we may share personal data with:

  • Trainers, instructors and course administrators.

  • External educational and training providers.

  • Website hosting, email and information technology providers.

  • Providers of registration, learning-management and secure storage systems.

  • Banks and payment-related service providers.

  • Professional advisers, including legal and accounting advisers.

  • Public authorities, courts or regulatory bodies where disclosure is legally required.

We do not sell your personal data to third parties.

8. How Long Do We Keep Your Personal Data?

We retain personal data only for as long as necessary for the purposes for which it was collected and for any applicable legal retention obligations.

Retention periods may differ depending on the activity:

  • Course enquiries: for the period reasonably necessary to respond and manage follow-up.

  • Course registration and enrolment records: for the duration of the course and any additional period necessary for administration, legal compliance or claims.

  • Attendance, assessment and completion records: for the period necessary to administer the course, verify participation or completion, issue certificates where applicable and comply with relevant legal obligations.

  • Membership and support records: for the duration of membership and any further period necessary for legal compliance or dispute resolution.

  • Financial and transaction records: for the period required by applicable Portuguese accounting and tax legislation.

  • Application documents shared with external training providers: for the period necessary for the application and related services, subject to applicable legal obligations.

  • Marketing records: until consent is withdrawn or an objection is made, as applicable, subject to limited records needed to respect your preferences.

  • Website analytics information: according to the relevant tool settings, cookie choices and applicable legal requirements.

We will establish appropriate retention periods based on the type of record, the purpose of processing and the legal obligations that apply. When personal data is no longer necessary, we will securely delete it or anonymise it where appropriate.

9. Optional Marketing Communications

EdPro may send optional promotional communications about its courses, training programmes, memberships, workshops, events and other educational activities.

Where required by law, we will obtain your consent before sending marketing communications. Consent to marketing will be separate from acceptance of course or membership terms and will not be a condition of enrolment unless legally justified for a specific service.

You may unsubscribe using the link in a marketing email, where available, or contact us directly.

Withdrawing marketing consent will not prevent us from sending essential communications relating to a course, membership, payment or service you have requested.

10. Changes to This Privacy Notice

This Privacy Notice applies generally to EdPro’s courses, memberships, training activities, workshops and events.

If a particular course or service involves additional data-processing purposes, special requirements or different arrangements with an external training provider, EdPro may provide supplementary privacy information where necessary.

The latest version of this Notice will be published on our website with the applicable revision date.
